Data Validation drop-downs: stop typos at the source
Every reconciliation and summary problem starts one cell at a time: someone types North, someone else types north, a third types Nrth. A drop-down list stops all three before they happen.
Build a drop-down
- Select the cells that should be limited.
- Data → Data Validation.
- Allow: List.
- In Source, either type the options separated by commas (
North,South,East,West) or point at a range on your sheet (=$H$1:$H$4). - OK. Each cell now shows a drop-down arrow and rejects anything not on the list.
Use a range, not a typed list
Point the source at a column of options (even better, a named range or a Table column). Then you can add or edit choices in one place and every drop-down updates — no reopening the dialog on dozens of cells.
Beyond lists
Data Validation also enforces numbers in a range, dates after a cutoff, or text length limits — handy for things like "amount must be positive" or "code must be 4 characters." Add an Input Message (a tooltip) and a custom Error Alert so people know the rule instead of just getting blocked.
The limit to know
Validation only checks values typed after it's applied and can be bypassed by pasting over a cell. Apply it before data entry starts, and pair it with Conditional Formatting to catch anything that slipped in earlier.
Clean, consistent location codes are what make multi-site reporting possible — the model IMS Made Simple is built on.
